Student report card format (free Excel template)
A printable report card for schools and coaching institutes. Enter marks for each subject and the sheet adds them up, works out the percentage and assigns a grade.
Free to use, edit and share. Opens in Microsoft Office, Google Docs and Sheets, and LibreOffice.
What is in the report card
- Header: school or institute name, student name, class, roll number, term and academic year.
- Subject table: maximum marks, theory, practical or internal marks, total, percentage and grade for seven subjects.
- Overall result: grand total, overall percentage and overall grade.
- Attendance: days present out of working days.
- Co-curricular activities and conduct.
- Teacher's remarks and signature lines for the class teacher, principal and parent.
How grades are worked out
Grades come from a scale in columns J and K of the sheet, which you can edit. The example uses a common 8-grade scale:
| Percentage | Grade |
|---|---|
| 91–100 | A1 |
| 81–90 | A2 |
| 71–80 | B1 |
| 61–70 | B2 |
| 51–60 | C1 |
| 41–50 | C2 |
| 33–40 | D |
| Below 33 | E (needs improvement) |
If your board or institute uses a different scale, change the cut-offs and grade labels, and every grade on the sheet updates.
How to fill in the report card
- Replace the institute name and edit the subject list.
- Change the maximum marks for any subject that is not out of 100.
- Enter theory and practical or internal marks. Leave a subject blank if the student did not take it; it will not count in the total.
- Add attendance (the attendance sheet works it out for you), activities and conduct.
- Write remarks, then make one copy of the sheet per student and print.
Writing useful teacher remarks
Good remarks are specific and give a next step. Instead of "Good, can do better", try "Strong in algebra and careful with working. Practising word problems weekly will lift the maths score further." Mention one strength, one area to work on and one action a parent can support.
Report cards for coaching institutes
Coaching institutes often report test-series results rather than term exams. Replace the subject rows with test names or exam sections, and add a column for rank or percentile if you share it.
Results without the spreadsheet work
When tests run online, marks are recorded as learners submit, so there is less to type up. AcadifyLab's online tests give you results and reports by learner and batch. See LMS for schools for how schools run classes and tests online.
